OldNational Admin Guide: How to Register & Manage Users

Administrators play a critical role in OldNational — they are responsible for managing company users, configuring accounts and services, and maintaining security. This guide covers the full scope of administrative responsibilities.

How to Register: OldNational is a subscription-based service. To register, an authorized company representative must contact Treasury Management support through the official bank website. Once enrolled, the administrator manages all subsequent users internally.

Administrator Role Overview

As an administrator, you have access to two primary functions within the Administration menu:

  • Administration: View your company's subscribed accounts, services, and payment types; create and manage other users; manage FTP delivery and pickup options.
  • Operations > Audit Service: View history logs of all activity by OldNational users in your company.

Administration Menu

From the Administration menu, you can perform various functions:

Creating New Users

To add a new user to your company's OldNational account:

  1. Log in as an administrator.
  2. Navigate to Administration > Users.
  3. Click Add New User or equivalent option.
  4. Enter the user's personal information: name, email, phone number.
  5. Create a User ID for the new user.
  6. Set a temporary password (user will be required to change on first login).
  7. Assign accounts the user should have access to.
  8. Assign services and features (ACH, wire, reporting, etc.).
  9. Set approval limits if applicable.
  10. Configure MFA method for the user.
  11. Save and notify the user of their credentials and setup instructions.
Security Best Practice: Always use the principle of least privilege. Only grant users access to the accounts and features they need for their specific role.

Permission Management

Permissions in OldNational are highly customizable and can be configured at multiple levels:

Account-Level Permissions

  • View account balances and history
  • Initiate transactions on specific accounts
  • Approve transactions up to specified limits

Feature-Level Permissions

  • ACH origination (create, approve, or both)
  • Wire transfers (create, approve, or both)
  • Account transfers
  • Positive Pay decision-making
  • Report generation and export
  • User management (admin only)

Approval Limits

Set dollar thresholds for payment approvals per user. Users can only approve transactions up to their configured limit. Transactions exceeding a user's limit require a higher-authorized approver.

Accounts & Services Management

Administrators can view and manage the company's enrolled accounts and services:

  • View enrolled accounts: See all checking, savings, and loan accounts linked to the platform.
  • View subscribed services: See which treasury management services are active (ACH, wire, positive pay, etc.).
  • Allocate accounts to services: Assign specific accounts to specific services.
  • Add new accounts or services: Requires coordination with Treasury Management support — administrators cannot self-enroll in new services.

Audit Trail & Activity Logs

The Audit Service provides a comprehensive log of all user activity:

  • Login attempts (successful and failed)
  • Payment creations and approvals
  • Account transfers
  • Report generation and downloads
  • User permission changes
  • Payee additions or modifications
  • Positive Pay decisions
  • Profile and setting changes

Audit logs can be filtered by user, date range, and activity type. They are essential for compliance, fraud investigation, and operational review.

FTP Delivery & Pickup

For businesses with high-volume file processing, OldNational supports FTP/SFTP delivery and pickup:

  • Delivery: Automatically send reports, statements, and transaction files to your FTP server.
  • Pickup: Upload payment files (NACHA format) from your FTP server for processing.
  • Scheduling: Configure delivery and pickup times to align with your accounting workflows.
  • Security: SFTP is recommended over standard FTP for all file transfers.

Admin Best Practices

  • Regular Access Reviews: Review user permissions quarterly to ensure they remain appropriate.
  • Timely Deactivation: Deactivate user accounts immediately when employees leave the company.
  • Dual Control: Enable dual-control for all ACH and wire payments.
  • Separation of Duties: The person who creates payments should not be the same person who approves them.
  • Monitor Audit Logs: Review audit logs regularly for unusual activity.
  • Limit Admin Access: Only grant admin privileges to users who truly need them.
  • Secure MFA: Ensure all users have MFA configured with current contact information.
  • Password Policies: Enforce strong password policies and regular password changes.
